VoucherGrid records voucher activity and applies the rules you configure. Voucher classification, exceptions and final tax treatment stay with you and your accountant.

Accountant reviewing voucher reconciliation work at a calm small-business office desk

From client permission to a reviewable set of records.

  • Access starts with the client's permission

An active adviser account has a referral code. The workspace owner grants or revokes read-only access in Settings > Tax & accountant after confirming their identity. Adding an accountant email address alone does not grant access.

  • Review clients who have granted access

The adviser portal shows granted clients and their voucher activity. A client introduction is not a data-access grant, and an adviser grant does not give you permission to sell or redeem vouchers for the business.

  • Follow the value from sale to redemption

Review voucher sales, redemptions and remaining balances together. The records support reconciliation; they do not establish that the balance sheet or BAS has already been reconciled.

  • Use the available operational reports

Voucher details and Redemption activity are available on every plan. Audit evidence export is limited to workspace owners and admins. Accounting reports, including Outstanding voucher liability and Quarterly BAS · voucher activity, are currently unavailable.

  • Know what accounting work remains

Accounting reports and Xero or QuickBooks sync are not available. VoucherGrid keeps the voucher activity; your practice prepares accounting entries and reconciles them with payment and business records.

  • Keep the judgement with your practice

Voucher classification, tax settings, expiry exceptions and final treatment need professional review. A recorded expiry is evidence to examine, not an accounting-policy decision made for you.

The quarter-end total needs a trail back to the vouchers.

A well-maintained spreadsheet can support a small operation. When sales, part-spends and expiry records are held separately, the practice has to establish which version is current before it can begin the reconciliation.

Before

Spreadsheet & POS export

  • A client sends one total with no voucher-level movements
  • A partial redemption appears in the till export but not the gift register
  • An introduction to the software is mistaken for permission to view client data
  • The bank receipt is treated as proof that a journal posted correctly
With VoucherGrid

Purpose-built voucher ledger

  • Owner-granted access to the client's voucher activity
  • Recorded redemptions and remaining balances to review
  • Operational transaction CSV exports across granted clients; the BAS journal feed is unavailable
  • Available operational merchant reports, with accounting reports currently unavailable

Follow one voucher, then check the period.

Worked example

A $100 gift with $40 redeemed

Illustrative workflow: a client sells a $100 face value voucher and later records a $40 redemption. The voucher has $60 remaining. Review the sale, redemption and balance alongside the client's payment and accounting records.

The example demonstrates voucher movement. Tax treatment depends on the voucher, the underlying supply and the client's settings; it is not a universal journal recipe.

Reports

Start with voucher records, then review the movements

Voucher details shows voucher status, value and expiry; Redemption activity records use during the selected period. Both are available on every plan. Export formats vary by report.

Outstanding voucher liability, Quarterly BAS · voucher activity and Journal entries - review CSV are currently unavailable. Professional can schedule eligible operational reports; this does not make accounting reports available.

Availability

Keep accounting preparation with your practice

Xero and QuickBooks journal delivery is unavailable. Existing connections and history are retained, but reconnecting will not enable accounting sync.

Use operational voucher records alongside receipts, payouts, refunds and fee records to prepare and reconcile the accounting entries. A voucher balance alone does not establish GST or revenue recognition.

Check QuickBooks availability

Structured evidence, with the qualifications kept visible.

  • Expiry checks - help prevent short dates where Australia's three-year minimum applies. Review exceptions and the client's terms before relying on a date.
  • Voucher classification - face value and non-face value vouchers can have different GST timing. Review classification and the underlying supply with the client.
  • Accounting availability - accounting reports and journal delivery are unavailable. Prepare entries with your practice using operational records and supporting evidence.

FOR YOUR PRACTICE

Ask about adviser access

Use the existing info-pack enquiry to discuss adviser access and your client's voucher workflow. Access requires an active adviser account and an explicit grant from each client owner.

This enquiry does not create an adviser account or grant access. Do not include client financial records, passwords or voucher codes.
